Class Permission numbers will be generated the day before priority registration begins

Class permission numbers are being implemented to improve the student experience as California State University San Marcos, and ensure students are in the classroom instead of waiting in line to have a Schedule Adjustment form processed.

Class permission numbers are a series of randomly generated numbers that are assigned to a specific class section. The numbers are then provided to the students by faculty or a faculty designee for whom they intend to allow into a class up to and through the Add/Drop period. The registration system will prompt students for a valid permission number during enrollment via self-service. Faculty can access and print their permission numbers from PeopleSoft self-service in the same place that class rosters will be found.

Class permission numbers will also be used to allow students to enroll in a class that is marked as instructor or department consent.

FAQ

Why are permission numbers being implemented?
Students will benefit from this process greatly. Instead of standing in line to get a Schedule Adjustment form processed they can be in the classroom during this critical point in the term. Students can then add the class when it is convenient for them from any open lab, from their home, or from their laptop computer. It is also a way to facilitate the enrollment of students in classes that are designated as department or instructor consent.

What will the permission numbers override?
Permission numbers will override the class limit and allow the student to register for the class. Class permission numbers will not override prerequisites for the course. Faculty will determine if they want to accept more students in their class and if they want to distribute permission numbers. Faculty members will still need to sign a Schedule Adjustment form to allow a student in a course without having met the prerequisites. Once the Schedule Adjustment form is signed, the student must deliver it to Cougar Central for processing during the Add/Drop period.

Who will generate the permission numbers for each course?
Permission numbers will be generated the day prior to the registration period by Academic Programs.

How many permission numbers will be generated for each class?
Permission numbers will be generated at 45% of the class capacity with a minimum of ten numbers. For example, a class with a limit of 30 will generate a minimum of 13 unique class permission numbers and can be increased upon faculty request.
How will faculty get access to the permission numbers for their classes?
Faculty will be able to access and print their permission numbers from PeopleSoft self-service in the same place that class rosters will be found.

When will permission numbers start being used?
Class permission numbers will be available for use the first day of the registration period beginning with Summer 2008 registration period (April 7, 2008). Faculty will determine when and how they will provide permission numbers for students.

What type of process will be put in place to support the faculty in this process?
Academic Programs and project team members will work directly with faculty and departments before and during the Summer Add/Drop time period to ensure they have access to their permission numbers.

How will feedback be gathered after the summer 2008 process?
In person follow-up and a survey of Summer 2008 faculty members will take place to get feedback and determine if and how the process can be improved for Fall 2008. Feedback collected will be reported back to APC.

What is the difference between a student specific permission and a class permission number?
A student specific permission is used when you know beforehand the exact students who will be in a class. The individual student’s ID is tied to the class to allow enrollment. Class permission numbers are utilized when you do not know the exact population until registration begins.
