Procurement and Support Services

Procurement and Support Services consists of Procurement, Travel, and Materials Management (consisting of Central Stores, Property Accounting, Shipping & Receiving, Records Management and Campus Storage). Our goal is to improve the quality of services provided to the campus departments while reducing the total cost of goods and services.  We will do this by increasing productivity, streamlining work processes, decentralizing purchasing functions, maximizing use of electronic media, and utilizing best practices developed in our industry.

People:

  • Scheduled monthly Buyers’ meetings to discuss processes and desktop procedures; compiled a list of items to be discussed at future meetings
  • Met with IITS and Facility Services to discuss projects and agreed to schedule quarterly meetings to collaborate on future projects
  • Established bi-monthly meeting with Buyer Leads to review and distribute workload

Processes:

  • Collaborated with Accounts Payable to review Independent Contractor Process, Hampton Inn billing process, and printing/mailing house purchase order payment process
  • Met with Arts & Lectures to identify ways to improve communication and assist in preparation of independent contractor documents and purchasing documents
  • Collaborated with Associate Vice President of  Finance and Business Services (AVP FaBS) and Risk Management and Safety to develop a New Initiative/Project form
  • Collaborated with Accounts Payable to hold refresher training for PeopleSoft; continue to work together to review and assess process

Campus Community:

  • Received approval to use ProCard for Office Max office supplies
  • Collaborated with Accounts Payable, Systems Operations and Development, and Procurement staff to discuss process for rollout of new ProCard
  • Met with the move coordinator to identify people being moved and updated routing lists
  • Met with Health and Human Services (HHS) to re-assign mail drop/pickup for the HHS group

Resources and Regulations:

  • Received 14% Disabled Veterans Business Enterprise (DVBE) participation on Craven Renovation Project
  • Jim Carr and Bart Westbrook received the "Governor's Employee Safety Award” for having gone 1,850 days, as of March 8, 2006, without a work-related injury
