Q.  What is OneDrive for Office 365?

A.  OneDrive for Business is a place where you can store, sync, and share your work files. As part of Office 365, OneDrive for Business lets you update and share your files from anywhere and work on Office documents with others simultaneously.

Q.  How can I sync my OneDrive for Business to my computer?

A.  If you are using Office 365 (online/web based) your files will automatically save to the cloud and are accessible via  If you travel or need access to your files locally (no wifi/browser access), you can sync your OneDrive for Business files using the sync client that can be installed on your computer (PC or MAC).  Please contact the Helpdesk if you need assistance with your installation.     

Q.  How can I share my files and folders in OneDrive for Business?

A.  Easily! Open OneDrive for Business, click the document you want to share, click on the "share" icon, and a new window will appear that will allow you to set specific permissions for sharing. OneDrive for Business also allows for sharing files with external users, such as individuals outside of CSUSM

Q.  Can I share/invite to a campus Resource Mailbox ?

A.  No you cannot share/invite a campus resource mailbox (eg., usuavit <>) as you cannot assign permission levels to resource mailboxes.

Q.  What will happen to my file metadata (file creation date, date modified, etc)?

A.  Metadata will be preserved at the folder and file level.  We recognize the importance of this and have verified our migration tool does not impact this information as it did with our former provider.

Q.  Can I recover the OneDrive for Business files that I deleted? 

A.  Yes, log into OneDrive for Business (online portal).  On the left had side under you name you will see the Recycle bin.  Click on the file and a blue cirlce icon will appear.  Just above the word Recyle Bin you will see the option to Restore your file.  Important: Deleted items are available for 90 days in the recycle bin and then they are deleted permanently. IITS is unable to recover permanently deleted documents.

Q.  What are Office 365 Web Apps?

A.  Office 365 is a new branding term used by Microsoft that refers to the newest versions of the Mircrosoft Office Suite (Word, Excel, PowerPoint, OneDrive, SharePoint).  All students, staff, and faculty are eligible to install Microsoft Office 365 on up to 5 devices.

Q.  What is the difference between OneDrive for Business and OneDrive?

A.  OneDrive for Business is intended for workplace storage, like CSUSM, that provides a place in the cloud where you can store, share, and sync your work files. OneDrive is the consumer version intended for personal storage separate from your workplace.

Q.  How much space do I have? 

A.  1TB (nearly 20 times the size of our pevious provider).

Q.  If I am still on an H-Drive and do not have BOX, am I affected by this?

A.  Yes. This project will occur in two phases and the long-term objective is to move all remaining individuals from the H-Drive environment onto OneDrive for Business.

Q.  What happens when you leave CSUSM?

A.  Once a separation notice is filed, staff accounts are disabled and the files are automatically deleted after a 14 day waiting period.  Emeritus faculty accounts remain enabled upon separation.
