Alcohol
- Can my event have alcohol?
Yes, only with a completed Alcohol Approval Form and license from California Alcoholic Beverage Control. Please refer to the CSUSM Alcoholic Beverage Use on Campus policy. Your Event Planner will assist throughout the process and obtain the necessary signatures. - Do I need to get the liquor license for my event?
Yes, the client is responsible for properly completing the Alcohol Approval Form in a timely manner and for ensuring that their contracted bar service has obtained the necessary license from California ABC. A member(s) of your party will need to be designated as the responsible host for the event (1 host per 50 people expected). - Can I bring in my own beer and/ or wine?
No, alcohol is only approved for on-campus use when provided by a licensed bar service. A current list of approved providers is available.
Approved Vendors
- Can anyone cater an event at CSU San Marcos?
No, an approved caterer, including the campus partner Sodexo, must be used for all catered events. Caterers can be added prior to your event with approval.
Branding/ Promotional Materials for your Conference/ Event
- Can I use the CSUSM logo for my promotional materials?
Yes, however all promotional materials that have any images or verbiage mentioning CSUSM or Event and Conference Services at CSU San Marcos are subject to approval by your Event Planner. All promotional materials must be submitted to your Event Planner 30 days after signing the contract and can take up to 30 days to approve based on the complexity of the request. - What images can I use for my promotional materials?
Contact your Event Planner images and correct verbiage regarding CSUSM. Be sure to know what format you need your images in (jpg, tif, etc.) before contacting your Planner.
Cancellations
- Can I cancel my event agreement without penalty?
ECS will keep 10% of any deposit made if event is canceled 30+ days prior to event date. For cancellations less than 30 days, ECS will keep 25% of all deposits. Cancelations made less than 10 business days prior to event will not receive a refund.
Deposits and Payments
- Are deposits required for events/ conferences?
Yes, a 25% deposit of total estimated charges is required within 10 days of Event Estimate receipt. Within 10 business days of your event, 50% of total estimated charges is due. - When is my final payment due?
All events must be paid in full within 30 days of receipt of Final Invoice. Any outstanding bills after 30 days will be assessed late fees. - Can I pay with a credit card?
Yes, in order to keep your credit card safe, we ask you make all credit card payments though our secure payment portal.
Directions
- How do I get to CSU San Marcos?
CSU San Marcos is conveniently located in North San Diego County - only a short drive from the City of San Diego, Riverside County and Orange County. The campus is located off Highway 78 which is easily accessed off of Interstate 5 or 15. Detailed directions and maps available.
Internet Access
- Is there wireless access throughout campus?
Wireless access is available within housing and in most meeting spaces throughout CSUSM. - What fees are associated with using internet in housing and for events?
Internet access service is complimentary. Extensive use may result in additional administrative technology support and/or bandwidth. Additional fees may apply to accommodate group usage.
Miscellaneous
- I'm CSUSM Faculty/Staff, how do I book an event?
You can access 25Live via the internal portal.
Weather Contingency
- When do I need to decide to move my event indoors if it is expected to rain?
Set-up for all outdoor events is **WEATHER PERMITTING*. Weather calls can be made by your Event Planner as early as 12 hours prior to the start of each function; possibly earlier based on the event. If there is a change of rain of 50% or higher, bitter cold (50 or colder), or excessive electrical activity, CSUSM ECS will try to consult with the responsible party at the time of this decision. However, CSUSM ECS reserves the right to move the function indoors. This decision does not change the cancelation payment schedule.
