Non-Billable Billable Work

Routine Maintenance, Repairs, and Installations (Non-billable)

 Routine maintenance and repairs include activities which preserve our utility and building systems, such as the maintenance, operation, and repair of electric, water, gas, heat, ventilation, air conditioning, plumbing, sewage, and elevator systems. It also includes the maintenance and repair of basic components of campus buildings and grounds, including foundations, walls, roofs, stairs, ceilings, floors, floor coverings, wall coverings, doors, windows, hardware, turf, sidewalks, and ancillary facilities or equipment. This work is usually non-billable. 

Examples include but are not limited to:

  • Plumbing leaks
  • Roof leaks
  • Utility repairs
  • Heating
  • Air Conditioning
  • Too cold
  • Too hot
  • Burned out light ballasts
  • Diffuser broken / hanging
  • Circuit breakers tripped
  • Custodial services
  • Emergency clean up
  • Grafitti removal
  • Key broken in lock
  • Bulbs / lights not working
  • Broken sprinkler heads

Billable Work

Examples of billable maintenance items include, but are not limited to, painting within 10 years of the surface's last paint job, white or corkboard installations, equipment installations, keyboard tray moves and installations, and additions to electrical systems.

Cost incurred to clean and repair water damage caused by a water cooler dispenser is billable to the appropriate department.

If an estimate is needed, the request is forwarded to our trades service center. Estimators may visit the site to get details prior to entering the estimate.  The estimate is provided to the customer for approval. Once the estimate has been approved, work begins on a first-come, first-served basis, subject to work order priorities.

Estimates should be approved by the requesting department within 30 days. Otherwise, the request and estimate may be cancelled.

Work Order Priorities:

  • Emergency = an immediate threat to life and/or property
  • Urgent = a potential threat to life and/or property
  • Standard = to be processed on a first come first serve basis
