Help out at Commencement

Be a part of the Celebration!

The Commencement Office invites all faculty, staff, current CSUSM students, and campus partners to join in on the celebration during one of the happiest celebrations hosted by the University! The Commencement Office utilizes Sign-Up Genius to help organize participants and time slots available. Each shift will be dependent on ceremony time and participants will be notified of the information sessions prior to Commencement. Help us make this a memorable experience for our fellow Cougars!  

Faculty Participation

Faculty Participation at Commencment

  • Faculty Sign-up Form

    The Commencement Office is utilizing Signup Genius to manage Commencement Faculty Signups.  The Faculty Sign-up Form will be posted in January 2021.

  • Faculty Training

    Faculty Marshal and Reader training will be held before the event.  Dates, times and locations will be emailed to those who signed up.

  • Faculty Check-In

    All Faculty participating in the Commencement ceremonies must check at the Clarke Field House one-hour prior to the ceremony start time.

  • Faculty Processional

    Faculty will march in the processional behind the students and before the Platform Party. Please check-in at the Faculty Table located in the Clarke Field House.  The Faculty will assemble on the terrace; students will assemble and line-up on the right side of the Clarke Field House then proceed down the pathway toward the Mangrum Track & Field.  Staff at the Faculty Table will be available to assist Faculty. 
  • Faculty Recessional

    The Platform Party will exit the stage and ceremony site first, followed by the Faculty. However, rather than exiting the ceremony site entirely, the Faculty will exit the graduate seating area and form a double line immediately beyond it, along the recessional route, so that Faculty may greet students and offer congratulations as the students exit the ceremony site.  The Faculty Marshals will assist in creating this "congratulatory line."  The Students will continue the recessional to the meet and greet area.
  • Faculty Regalia

    Rental: Deadline is APRIL 2, 2021

    You may rent academic regalia (cap, gown, hood, tassel) from the University Store. To make your rental arrangements, please contact the University Store (x4730).

    Purchase: Deadline is March 5, 2021

    You may purchase regalia by contacting Jostens.

  • Faculty Refreshments

    Light refreshments during breaks will be provided. There is an optional lunch on both days. Supervisors will coordinate lunch and breaks. Lunch will be served in the Clarke Field House Grand Salon.  Don't forget to sign up for lunch on your sign-up form in order to be included in our catering count.

  • Staff & Student Ambassador Sign-up Form

    The Commencement Office is utilizing Signup Genius to manage Commencement Staff Signups.  The Commencement Staff Sign-up Form will be organized by tabs according to area in Sign-up Genius. This sign-up form will be posted in January 2021.

    Student Ambassadors will sign-up for their preferred area by  checking off the desired times and dates  in Signup Genius. An email will be sent to Student Ambassadors with important information to review prior to their shift.

    Please note that  we try to accommodate all requests, but if there is a position that requires additional assistance, you could be placed there to assist. We thank you for your understanding and for your participation during the 2021 Commencement Ceremonies!

    Student Ambassadors will receive an email with assignment detail. No training required.

  • Assignments

    Staff members working the Commencement Ceremonies will be given pre-assigned duties for each day. Assignments will be handed out at the staff training sessions. Assignments may include graduate check-in, graduate line up, or the distribution of programs and information. Please plan on attending one of the training sessions.

    Student Ambassadors will receive an email with assignment detail. No training required.

    Please note that  we try to accommodate all requests, but if there is a position that requires additional assistance, you could be placed there to assist. 

  • Check-In

    Please arrive at the start of your assigned shift and check-in at the Clarke Field House.  Then check-in with your staff area supervisor at your assigned location (field, stage, CFH, etc.). Please make sure you make proper arrangements to allow for travel time and possible traffic delays.
  • Shift Times

    Please note that end times are approximate times. Shifts will end when ceremonies conclude and all clean-up or re-set is complete.
  • Attire

    Commencement polo shirt with dress slacks or khakis (NO JEANS) with comfortable shoes. You may want to bring your own bottle of water, a hat, etc. Please don't forget your sunscreen!

    Training is not mandatory for student volunteers. If you would like to attend a information session, please see the staff training section above for dates and times. We do ask that student volunteers review the Information Session presentation to become familiar with Commencement day procedures.

Please note that the 2021 Commencement Ceremonies will be dependent on current COVID-19 health orders put forth by local government and the University. Any news regarding the 2021 Commencement Ceremonies wll be communicated to Faculty, Staff, and Ambassadors CSUSM Email from the Office of Communications and/or the Commencement Office. Graduates will receive the same news via their CSUSM email account, CSUSM App, the Commencement Website, and Social Media.
