- When is travel considered university business?
Travel will be considered to have a University business purpose if the travel:
- Directly supports a faculty member's project or research program, or
- Is an integral part of the student's degree work, e.g. attend a conference; visit a field site or laboratory facility, or
- Is required for attendance at studentāoriented meetings and the like, or
- Enables the student to attend a conference to present research findings for the University or to act in some other capacity on behalf of the University.
- What forms do I need to fill out?
Use the Combined Student Travel Form if the student is traveling for purposes that are not part of a supervised class field trip, particularly when ground and/or air travel is included.
Use the Field Trip Form if the student is traveling as part of a formal class trip ("field trip"). Field trip is defined as a university course-related, off-campus activity led by a faculty or staff member and designed to serve educational purposes. A field trip would include the gathering of data for research (such as at a geological or archaeological site), museum visit, participation in a conference or competition, or visits to an event or place of interest. The duration of a field trip may be a class period or longer, and could extend over multiple days. This definition does not apply to activities or placements in the context of a teacher preparation program, intercollegiate sports, or service-learning placements, all of which are governed under separate policy.
If you are unsure about what form to use, email risk@csusm.edu.
