End of Semester Gradebook Tasks

Why Do This?

It is important to verify all grades are correct before submitting official grades to MyCSUSM (PeopleSoft). If a grade is incorrect in Cougar Courses and then submitted to MyCSUSM, paper grade forms are required to request a grade change.

Check the User Report

  1. In the Administration block, select Gradebook setup.

  1. Select the View tab, and then select the User report tab (on the far right).

  1. Under "Select all or one user" drop down menu in the upper right, choose "All users."  You will see the grades and totals for each student.

  1. Set to view the report as “Myself” in the upper right.

  1. For each student, verify all items are visible. If grade items are grayed out, that means they are not visible to students.

  1. For each student, verify totals are visible. If a total is not visible, there will be a dash for it in the Grade column.

Grade Item Not Visible

  1. Is the item an activity such as Assignment, Quiz, Forum, etc.?
  • If so, make sure it is visible on the course homepage. Turn editing on and for the item select Edit and then Show. If you see Hide instead of Show, that means the item is already visible.

  • If it is a Quiz, go into the settings and the Review Options section. Make sure the box for Points is checked in all available columns.

  • If it is a Turnitin Assignment, the item will be hidden until the Post Date. To make visible, go into the settings and change the Post Date.

  1. Is it still not visible or is it a manual grade item?
  • In the gradebook, go to Setup tab and then the Gradebook Setup tab.

  • Select Edit for that item and then Show. If you see Hide instead of Show, that means the item is already visible.

  1. Is it still not visible?
  • Go to the Grader Report and Turn editing on (upper right).

  • Scan through all the cells and verify that all the eye icons are open.

  • If closed, click the eye icon to open. Scroll to the bottom left and click the Save changes button.

Course Total Not Visible

  1. Select the Setup tab and then the Course Grade Settings tab.

  1. Go to the Overview Report section. For the setting "Hide totals if they contain hidden items" change it to "Show totals including hidden items."

  1. Go to the User Report section. For the last setting "Hide totals if they contain hidden items" change it to "Show totals including hidden items."
  1. Save changes.

Course Total Not Correct

Likely causes:

  1. Extra credit items not marked as Extra Credit in the gradebook. Extra credit items are identified by a + symbol next to the Max grade on the Setup tab.
  1. There are grade items that should be in a weighted category, but are not.
  1. There are unused grade items. If you are not using grade items you will need to either delete the item, edit the item to make it worth no points, or put it into a category that is weighted to zero.
  • To delete
    • If it is an activity (Assignment, Quiz, Forum, etc.) you must delete it from your course homepage. With editing turned on, go to the item and click Edit and then click Delete.
    • If it is a manual grade item, you can delete from the Gradebook Setup tab. Go to the item and click Edit and then Delete.
  • To make the item worth 0 points (for activities)
    • Go to the course homepage and for the item click Edit and then Edit Settings. In the Grade/Ratings section change the Type to None. For quizzes, go to the Edit Quiz page and change the Maximum grade to 0. Save.
  • To put them into a weighted category
    • On the Gradebook Setup tab, click Add a category at the bottom of the page.
    • Set the Aggregation to Simple Weighted Mean.
    • Set the Maximum grade to 0.
    • Save changes.
    • Move the unused items into that category.
  1. Categories are set to an incorrect weight (Maximum grade)
  • To fix:
    • On the Gradebook Setup tab, go to the category title and click Edit and then Edit Settings
    • Make sure the Aggregation is correct.
    • Make sure the Maximum grade is correct.
    • Save changes.
  1. There are ungraded items being excluded from the course total.
  • To fix:
    • On the Gradebook setup tab, for each category (including the top one with your course name) select Edit and then Edit Settings.
    • Under Aggregation, click Show More
    • Uncheck the "Exclude empty grades" box.
    • Save changes.
    • Repeat this for each category.

 

Change the Information Shown in User Report

By default the User Report shows the columns Calculated Weight, Grade, Range, and Feedback for each item and category. By default the Grade is displayed as points.

To add additional columns:

  1. Select the Setup tab and then the Course Grade Settings tab.

  1. Go to the User Report section. The additional options include:
  • Rank
  • Percentage
  • Average
  • Letter grades
  • Contribution to course total
  1. To add a column, choose Show from the drop down for that item.

  1. Save changes.

To change the grade display type for an item or category:

  1. On the Gradebook Setup tab, select Edit and then Edit Settings for the item or category you want to change.

  1. For a category: at the bottom of the Category Total section click Show More. For an item: at the bottom of the Grade Item section click Show More.

  1. Change the “Grade display type” to the desired setting. Real means points.

Export Gradebook As An Excel Spreadsheet

You might want to keep a copy of the gradebook for your records, and it have to reference as you enter official grades in MyCSUSM.

  1. While in the gradebook click on the Export tab and then on the Excel Spreadsheet

  1. By default all grade items and totals will be exported. Uncheck the boxes for the items you do not want exported.
  1. For “Export Format Options” check the boxes for the information you want exported. Real refers to points.

  1. Click the Download

  1. Save the file to your computer.
